ADMINISTRATION

The general administration has to do with management of the day to day activities within the Centre. The administrative staff is made up of: An administrative officer and support staff, the Accountant and support staff, Drivers and any other employed staff to aid in specific projects. The support staff like the security and genitor ensures the maintenance of the Centre’s assets by taking directives from the administrator.

The transport office

The transport office is responsible for the management and use of the Centre’s motor vehicles and motorcycles under the direction of the Administrator.

The supply Office

The supply Office is responsible for ensuring that the procedures to be followed and the documentation used in accounting for the purchases of goods and services are rightly followed such as placing of orders, receipt of goods and services and that supplies invoice are properly checked and approved.

THE ACCOUNTS OFFICE

The accounts office handles with approval from director release of funds for running projects, calculation and payment of staff salaries, per diems, incentives/bonuses, staff loans. Also they are to ensure preparation of pay slips and depositing pay checks at individual staff banks.

 

HDSS (THE FIELD OFFICE)
The FO is in charge of the smooth running of the Health and Demographic Surveillance System (HDSS) in order to ensure timely and accurate data collection. It is headed by a Field Coordinator who oversees the day-to-day field management. Specifically, the Field Office ensures the smooth running of all the HDSS activities through:

    • Organize, purchase and provide materials needed for effective fieldwork.
    • Recruitment, training and preparation of field staff for the fieldwork
    • Monitors or supervises field workers in their fieldwork activities
    • Ensures that all logistics are made available for effective fieldwork to be done
    • Maintains very high standard of data quality
    • Liaises effectively with the Computer Centre/Data Processing Unit to have clean HDSS database
    • Assists in the dissemination of research results.
    • Continues to implement vibrant and effective Community Key Informant (CKIs) System
    • Ensures smooth running of the Multitask Supervision System
    • Maintains vibrant house numbering system
    • Ensures that houses and important landmarks are digitally mapped
    • To support up and coming projects
    • To provide comprehensive sampling frame for new projects
    • To make sure the HDSS continues to be the bedrock for DHRC

    THE DODOWA HEALTH RESEARCH CENTRE IRB
    The DHRC with support and funding from EDCTP has set up an Institutional Review Board to ensure the safety and well being of research participants in the Dangme West District. This is especially important in a rural district where due to high levels of poverty and illiteracy, research participants might not be aware of their rights to confidentiality, voluntariness, informed consent and compensations.
    The center currently has a nine member board whose responsibility is to monitor the ethical merits of health research carried out within its jurisdiction. Secondly, the board will educate community members about their ethical rights and institute an effective field monitoring process for ongoing health research within the Dangme West District.
    To set up the set up the board stakeholders’ consultation was held with heads of local authority for the district, public health institution, social welfare, policy makers, legal counsel, traditional rulers, religious bodies and experts in the field of biomedical research between April and May 2011. This was helped to sensitize them about the setting up an institutional review board for health research in the district which will guide and ensure the safety of research. Secondly, this consultation helped to solicit for nominations of experts who could serve on the board.
    The board is currently a made up of a lawyer as well as representatives from the Dangme West District Council of Churches, Women’s Desk at the Dangme West District Assembly , District Health Administration, the Greater Accra Regional Health Administration, the traditional authority , Social Welfare and the Dodowa Health Research Center.
    Board members have undergone initial training and while there will be further training over time the board is ready to start reviewing protocols for research to be carried out in the district.
    The secretariat for the board housed in the offices DHRC and equipped with funding from EDCTP, and is manned by an administrator who has understudied the IRB administrators of the Noguchi Memorial Institute for Medical Research (NMIMR) and the Ghana Health Service (GHS). The running of the work of the board is overseen by a project coordinator assisted by a co coordinator. The work of the board is also supported by the following project participants: the Director of the DHRC, the Director of the Research Development Division of the GHS, the Chairman of the IRB of the NMIMR and the Administrator of the Navrongo Health Research Center IRB
    The DHRC IRB will collaborate and network with IRBs in other research and academic institutions like the Navrongo Health Research Center, the Noguchi Memorial Institute of Medical Research and the School of Allied Health Sciences. The GHS Review Board will provide supervisory support to the centre to ensure that the activities and work of the Dodowa Review Board meets national and international standards.
